Terms and Conditions
Outsourcing through Business Transcriptions should be an uncomplicated and user-friendly service. Business Transcriptions will communicate regularly with clients to ensure the system meets all requirements.
1. Business Transcriptions' Responsibilities Business Transcriptions undertakes as follows:
- All work will be completed in a professional and workmanlike manner and within the client's specified timeframes.
- Before work is returned to the client, it will pass through a quality control process.
- Total confidentiality (as described in Clause 3).
- A high level of security for the website uploading facility will be maintained at all times.
2. Client's ResponsibilitiesIt is the client's responsibility to ensure:-
- All information supplied in the new client detail form submitted to Business Transcriptions is correct and has been completed by a duly authorized person.
- Protection of the login and password information for accessing the client's account with Business Transcriptions. Disclosure of this information is at the discretion of the client. However to maintain security, such information should only be given to authorized personnel within the client's business.
(Note: For added security, Business Transcriptions will be able to change a client's password upon receiving a request to do so).
- The only files uploaded to the Business Transcriptions website are for the purpose of undertaking assignments of work. Users of the site must not send email that contain material that infringes upon the rights of others or which a reasonable person might consider to be abusive, profane, discriminatory, offensive, objectionable material or copyrighted information of files which are in breach of codes of conduct
- Receipt and acceptance of the job by Business Transcriptions (via e-mail) when work has been sent directly via e-mail (without logging into the secure client download area).
- Any material sent via email is done so at the senders own risk as security cannot be assured using this method of uploading.
- Business Transcriptions are informed of specific deadlines for completion of each assignment.
- All necessary information (including where applicable, spellings of names, addresses etc) and templates are supplied to Business Transcriptions at the onset of instructions in order that the assignment can be completed accurately and returned within the timeframe and format that is required. No responsibility will be taken for incorrect or incomplete work due to failure to provide to Business Transcriptions detailed instructions or precedents (as referred to above) for completion of the transcription work.
- In the event of a fault occurring on the uploaded audio file, Business Transcriptions will transcribe what they can and the client will be notified accordingly.
- Accounts will be paid by the 20th of the following month from issue of an invoice.
3. ConfidentialityBusiness Transcriptions recognizes and appreciates the necessity to ensure client confidentiality is maintained at all times. Particular attention has been given to security and confidentiality features which have been installed on our system for sending, retrieving audio files and documentation.
All employees of Business Transcriptions are bound by agreeing to the signing of an in-house confidentiality agreement before undertaking assignments. All necessary steps will be taken to ensure that employees of Business Transcriptions will not at any time use, divulge or communicate to any person any confidential information concerning the business or affairs of the client.
If a client requests that their own form of confidentiality agreement is to be signed, Business Transcriptions will be happy to peruse such documentation.
All sound files and/or precedents used to complete an assignment on behalf of a client shall be deleted within 7 days of completion. No hard-copy documents (other than supplied precedents) will be kept by Business Transcriptions.
4. Invoicing/Schedule of Charges Business Transcriptions operates a pricing structure based upon a set charge per audio minute as opposed to a set hourly rate. The schedule of charges includes rates for:-
- premium (by arrangement only);
- overnight; and
- 48 hour return.
The schedule of charges per audio minute will be confirmed with the client upon acceptance of instructions.
Please note that in cases where the audio sound file is unclear or the sound quality is poor then an excess rate will apply in consultation with the client or the file returned.
Business Transcriptions reserves the right to review their schedule of charges and will provide one month's written notice of such review to the client.
Invoices will be issued on completion of each job. A client statement will be issued detailing listing of all jobs completed during the month. Payment is to be made by direct credit, telegraphic transfer or credit card to Business Transcriptions' account by the 20th of the following month. Details of method of payment are outlined on each invoice. Late payment will incur a 10% penalty payment calculated on a weekly basis with any additional costs incurred in recovery of any outstanding amounts.
If a client requires a different billing period, then this can be discussed and arranged.
5. Disclaimer Business Transcriptions accepts no responsibility for any errors, omissions or other inaccuracies that may be contained within transcripts produced by them. Business Transcriptions accepts no responsibility whatsoever to any party other than to the instructing client. Transcripts containing details of any price-sensitive information, professional opinions or technical data should be confirmed with the relevant parties prior to making any decisions based on the information supplied within such transcripts.
5. Changes to TermsBusiness Transcriptions reserves the right to change these Terms and Conditions and will notify the client of any such changes.
